Meeting and Event Operations Specialist - Clifton, NJ - Monday - Friday 8:00AM-5:00PM

This position is responsible for the co-development and execution of Commercial in-person and virtual meetings and training/development for Quest Diagnostics.  Drives event formation and coordinates learning curriculum development and implementation with functional leaders. Responsible for vendor management, budget creation and management for Commercial events, execution of events, crisis management and assessment of results. This role serves as an integral support the Commercial team to enable them to execute on meetings, agendas, and communications in support of growth initiatives and strategies.

Pay Range: $73,150+ per year

Salary offers are based on a wide range of factors including relevant skills, training, experience, education, and, where applicable, certifications obtained. Market and organizational factors are also considered. Successful candidates may be eligible to receive annual performance bonus compensation.

  • Interfaces with Commercial and functional leaders on messaging, planning, and budgeting in support of programs, e.g.: New Hire Training events, the National Sales Meeting (NSM), Commercial Training Events, etc.
  • Develops and manages all facets of events management including contract negotiations, vendor partnerships, communications, production, deliverables, and timelines. 
  • Collaborates with corporate functions (e.g.: Marketing, Legal, HR, Communications, Finance) on event preparation and execution, pursuing process improvements to embed best practices and efficiencies.
  • Encourages presenters to meet milestone dates for drafts, finals and trial-runs.
  • Develops and maintains calendar of meetings and events for scheduling alignment

QUALIFICATIONS

Required Work Experience: 

  • Minimum 3 years experience in hotel or event planning industry.
  • Demonstrated financial acumen experienced in budgeting development and management of events.
  • Project management experience using semi-sophisticated planning tools.

Physician / Mental Requirements:

  • Routinely lift 25+ pounds
  • Long hours/days sitting or standing 
  • Extensive walking during events through large hotels
  • Extended hours [mornings/evenings] when on programs

Knowledge: 

  • Organizational and operations skills for successful large events.
  • Proficiency in social media and PC software (Outlook, Word, Excel, PowerPoint, SFDC). 
  • Hotel and convention hall operations, capabilities, limitations, and partnerships.
  • Hospitality contracting
  • Event planning resources and capabilities; how to leverage and partner with the right vendors
