Job Description
Pay Range: $45.50-50.50/hour, plus overtime eligibility and yearly bonus
Salary offers are based on a wide range of factors including relevant skills, training, experience, education, and, where applicable, certifications obtained. Market and organizational factors are also considered. Successful candidates may be eligible to receive annual performance bonus compensation.

We are seeking a proactive and highly organized Executive Assistant to support our Chief Financial Officer (CFO) and other senior leaders. This role requires in-person presence (5 days) at our Secaucus, NJ office to ensure seamless collaboration. The successful candidate will be a master of multitasking, able to manage competing priorities and deadlines in a fast-paced environment. This role requires exceptional judgment, the ability to handle confidential information with the utmost discretion, and a talent for ensuring a seamless flow of information and coordination across departments. You will be a key player in a dynamic team, providing critical support to our executive leadership.
Responsibilities:
- Manage the CFO's and other senior leaders' daily schedules, ensuring they are kept informed of their appointments and commitments.
- Proactively manage the CFO's contacts, prioritizing key relationships and ensuring timely communication.
- Coordinate and prepare for critical meetings, including quarterly earnings calls, Board of Directors meetings, and external client engagements.
- Prepare, maintain, and update documents for Board meetings and other recurring leadership meetings.
- Arrange complex domestic and international travel, including visas, agendas, and all necessary preparations.
- Develop and maintain systems to track upcoming deadlines and deliverables.
- Handle a variety of administrative tasks, such as drafting correspondence, screening communications, and maintaining executive files.
- Process and manage expense reports in a timely manner.
- Collaborate effectively with other Executive Assistants and internal teams to ensure smooth operations.
Qualifications:
- Bachelor’s degree or equivalent practical experience.
- A minimum of 8-10 years of experience supporting C-level executives.
- Extensive experience in preparing board-level presentations and materials.
- Exceptional organizational skills with a proven ability to manage multiple priorities and projects with competing deadlines.
- Strong interpersonal skills and the ability to build relationships with stakeholders at all levels.
- Excellent written and verbal communication skills.
- High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with database management.
- Proven ability to handle confidential information with discretion and exercise sound judgment.
- A proactive, resourceful, and independent work ethic.
- Professional demeanor with the ability to remain calm and effective in high-pressure situations.
- Demonstrated ability to collaborate effectively within a fast-paced, growing environment.
- Flexibility to provide support outside of standard business hours when necessary.
