The coordinator will provide support and be a primary point of contact to the Executive and Medical Talent Acquisition (EMTA) team and its internal and external clients and candidates.  This is an ideal opportunity for an entry-level or Human Resources professional with a passion and eagerness to learn and break into a Human Resources or Talent Acquisitions career track.


  • Schedule candidate video and on-site interviews, including: plan and execute on-site interview days, schedule creation, space procurement, candidate travel, greet/seat candidates, arrange catering, manage the candidate expense reimbursement process
  • Execute candidate offer/promotion letters (internal and external) and follow-up with new hires for signed documents, ensure appropriate changes are processed correctly in the system via HR Service Center, relocation approvals, track background check process and confirm completion prior to start date
  • Regularly update EMTA candidate database (Invenias)
  • Create and monitor tracking spreadsheets using Excel, PowerPoint and other tools
  • Make updates/revisions to job requisitions on the applicant tracking system (iCims) and resolve applicant issues that may arise
  • Process vendor invoices and EMTA expenses through Concur and ensure sent to finance and charged back to correct cost centers
  • Maintain and update department’s shared online files
  • Provide HR administrative support for all executive and medical new hires to include all on-boarding (offer letters, new hire paperwork, benefits enrollment, etc.)
  • Manage EMTA supply ordering and tracking
  • Participate on special projects and teams as needed

  • Bachelor's Degree is required, ideally in Human Resources, Business or related field
  • Prefer 2-3 years of Human Resources or business experience
  • Must be organized and detail-oriented
  • Preference given to candidates with knowledge of HRIS systems (e.g. iCIMS or other Applicant Tracking Systems)
  • Proficient with Microsoft Office tools (Outlook, Excel, Word, PowerPoint)
  • Strong written and verbal communication skills
  • Exceptional interpersonal and organizational skills
  • Professional presentation, able to interface with senior executives
  • Able to work in a fast-paced, high caliber and dynamic environment
  • Ability to manage multiple tasks prioritize effectively
