Coord, Administrative Sr - EPH - Lenexa, KS - Monday-Friday

Job Summary:

This role provides a variety of administrative support to the Employer Population Health Leadership Team and coordinates administrative alignment within EPH.  This Lenexa based position reports to the Vice President, EPH, supporting the senior-most leader and a few additional key leaders in the organization. The role is responsible for the coordination of projects, activities, ensures a timely flow of information, manages multiple tasks and projects with competing priorities and deadlines, and screens and prioritizes communications and opportunities from external and internal sources.

•       Apply understanding of the most critical business needs to prioritize and manage executive calendars and flow of information.

•       Draft and/or edit slides in support of Monthly Business Reviews, Town Hall Meetings, Annual and other internal meetings

•       Serve as Project Coordinator under the direction of assignment leadership.

•       Prepare agendas and materials to make meetings successful

•       Establish appointment priorities, often declining or adjusting appointments or invitations based on understood business needs as directed by key leader(s).  Joins key leadership meeting as directed, capturing action items and completing follow up activities to ensure closure/next steps.

•       Use the EPH Operating Mechanisms to proactively manage calendars, distribution lists, organizational charts and initiative plans

•       Manage complex travel arrangements and proactively coordinate the pre-planning of trips with various internal functions, including arranging appropriate travel, agendas, and necessary contacts.

•       Perform administrative tasks such as timely and accurate expense reporting, processing legal and other documents such as vendor invoices, state notifications, tax related documents ensuring expense and filing deadlines are met.

•       Anticipates and proactively addresses all onsite meeting needs to ensure a successful meeting is held (ie. agenda, guest wifi access, meals/refreshments, room configuration)

•       Responsible for developing a centralized supply management system.  Oversee supply inventory, approve order requests and manage cost. 

•       Manage external contacts for key leaders, proactively understanding who they are, which are priority contacts and keeping track of periodic communication needed for priority contacts.

•       Ensure that various administrative tasks are done in an effective and efficient manner, including copying, reviewing outside mail, drafting correspondence, screening phone calls when requested, and maintaining executive files as needed.

•       Composes all manner of correspondence for supervisor approval. May sign in executive's absence.

•       Develop and maintain a system that alerts to upcoming deadlines on incoming requests or events.

•       Receive and distribute incoming mail either via mailboxes or scanning/electronically.

•       Maintain copier/printer/fax in copy/supply room and supplies, utilizing IT employees as needed.

•       Handle confidential information in a professional and discreet manner.

Education & Experience

•       Bachelor’s degree

•       Prior experience with project coordination.

•       Demonstrated project management skills.

•       Ability to work independently

•       Advanced Microsoft Skills, including Outlook, Word, Excel, PowerPoint; SharePoint experience a plus

•     Strong written and verbal communication skills.
