Basic Purpose:

Document Control Assistant I is responsible to provide general support to the operations of the Document Control Department and assisting with activities in maintenance (creation, review, revision and archive) of documentation associated with the Quality Management System.  Adhere to internal policies and procedures in accordance with regulatory requirements and standards of practice (ISO, CLIA, CAP, state regulations, and other regulatory requirements), as well as the expectations of business partners. 

Duties and Responsibilities:

•        Assist in the management of company documentation electronically and/or paper-based formats in the Electronic Document Control System (EDCS).

•        Administer the document management system (e.g., processing Document Change Requests {DCRs}, implement training roles and launch approvals).

•        Submission review of DCR, assuring correctness and compliance with local and corporate procedures.

•        Monitor DCR approvals, escalations, and rejections.

•        Format and word-processing documents submitted to Document Control.

•        Maintain basic knowledge of the EDCS, use, and functionality.

•        Assist in troubleshooting and resolving documentation issues, including investigation of issues and corrective actions, in collaboration with subject matter experts and technical staff.

•        Assist internal customers in performing document control related functions.

•        Maintains a collaborative, positive, and professional demeanor and effective working relationships.

•        Responsible for performing assigned tasks in accordance with applicable safety regulations and instructions, as well as correcting unsafe work habits and practices and/or bringing to the attention of the Safety Team or a supervisor any practice or condition that may be detrimental to the safety and health of the employees.  Also, responsible to cooperate in all safety or health-related programs and assisting in solving safety and health problems.  Violations of safety directives and procedures will be handled in accordance with the established Company disciplinary process.

Qualifications:

Education:

  • Must have High School diploma or equivalent.

Work Experience:

  • Must be able to demonstrate computer proficiency, especially using Microsoft Word for formatting documents into approved template(s) utilizing automatic numbering, table of contents and table conversion, etc.
  • Must possess excellent verbal and written communication skills and be able to communicate to all levels of the organization.
  • Must demonstrate ability to work independently, plan and prioritize.
  • Must be able to multitask, problem solve and implement innovative processes within a fast-paced environment.
  • Must demonstrate sound judgment and strong decision-making skills.
  • Must show initiative and ability to work cross functionally to resolve issues.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write email correspondence.
  • Ability to edit and proof documents.
  • Ability to speak effectively before groups of customers or employees of organization.
  • Ability to add, subtract, multiply, and divide with three-digit numbers. Ability to perform these mathematical operations using units of American money, weight, measurement, volume, and distance.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
